What do I need to know?
Where is the venue?
The venue is next to Gateshead International Arena, Gateshead. It is Gateshead Colleges' Academy for Sport. You will be based in the stall section of the main hall, which gathers people together throughout the day, including during the keynote and plenary talks. People will also be using this room as their space for lunch. It is an ideal location at the conference to maximise your reach (please note that talks in this space will also be happening throughout the day). You can find out more about the venue, here.
What do I get on both days of the conference?
We will provide you with a table and two chairs. It is up to you to furnish the table with your own tablecloths, banners, flags, pull up signs, or whatever else you wish you bring. We strongly recommend engaging activities for your stall, but a good old fashioned flyer and discussion never hurts. You cannot hang anything from the ceiling, but you can place a larger banner behind the stall, Electrical plug sockets will not be available.
What time do I need to be there and when do I leave?
The conference starts at 9am on both days. We recommend that you arrive at 8am on the first day to set up your stall. This will need set up by 9am as keynote talks will begin in this room and we cannot have background noise whilst they are taking place. After the first day, you can leave your stall overnight so it is ready for day two. The conference will be finishing at 5pm on both days and after it ends on day two, you must clear up your stall before 6pm.
Can I sell gifts or goods at my stall?
You can sell gifts such as arts and crafts, greetings cards, and so on. You can give sealed sweets and merchandise as you would at any conference, for free. You cannot sell wet items such as food or drink, and that means strictly no home cooked goods due to health and safety precautions, no gambling equipment or selling tobacco or alcohol. This premises belongs to a college so please be mindful of that.
Can I fundraise for my charity at my stall?
We would always prefer that you fundraised for either ReportOUT, Pride Action North, or OUT North East. However, if you are a charity or community group, then you are welcome to sign people up for online donations.
